Summary:
As the Bookkeeper and Administrative Assistant, you will be responsible for managing financial records, maintaining accurate bookkeeping entries, and providing general administrative support to various departments.
Your exceptional attention to detail, strong organizational skills, and ability to multitask will be instrumental in ensuring the efficient functioning of our financial and administrative processes.
Responsibilities:
1.
Bookkeeping and Financial Tasks:
Maintain and update financial records, including accounts payable, accounts receivable, and customer records.
Prepare and process customer invoices, vendor invoices, sales orders, credit memos, and purchase orders.
Take payments.
Reconcile bank deposits regularly.
Assist in the preview of financial reports.
Collaborate with the finance team to ensure accurate and timely completion of month-end and year-end financial processes.
Complete 1500, AIA Forms and other related documents necessary to invoice.
Weekly Aged Receivable calls and emails Coordinate with vendors 2.
Administrative Support:
Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
Organize and maintain physical and electronic files, ensuring proper documentation and confidentiality.
Assist in scheduling, coordinating, and communicating customer installation, and removals.
Assist in updating the calendar with jobs that didn't go in or revisions needed that require another visit.
Email any customer issues and update the customer's file.

Data Entry and Analysis:
Enter financial data into accounting software accurately and efficiently.
Verify the accuracy of financial documents and resolve any discrepancies.
Maintain Inventory in accounting software.
Perform basic financial analysis and prepare reports for management as needed.
Maintain a product rental log.
Create Home Modification proposals.
Update HR with prevailing wage jobs.
Coordinate Union Labor jobs.
4.
General Office Support:
Order and maintain office supplies and equipment inventory.
Keep track of yearly boot reimbursement for installers Collaborate with cross-functional teams to facilitate efficient communication and workflow.
Qualifications:
Minimum of 2 years of experience in bookkeeping, accounting, or related roles.
Proficiency in using bookkeeping and accounting software.
Strong knowledge of bookkeeping principles, financial procedures, and relevant regulations.
Excellent attention to detail and accuracy in data entry and record keeping.
Exceptional organizational skills with the ability to prioritize and multitask effectively.
Strong analytical and problem-solving skills.
Excellent written and verbal communication skills.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook, etc.
).
Ability to maintain strict confidentiality regarding financial and personnel information.
Strong interpersonal skills and the ability to work collaboratively in a team environment.
Strong communication skills Salary $52,000 to $58,000 based on experience, plus a performance bonus.
